For Gym Owners & Personal Trainers

Getting started is entirely self-service. Create your account, choose your plan, and complete the subscription setup through our secure Stripe checkout. Once payment is confirmed, your branded system is provisioned automatically — no waiting, no back-and-forth. You can then add your locations, class types, and instructors straight away, and your members can register and start booking immediately.

Yes. You have three options:

Direct link — we give you a branded URL like gymssolutions.co.uk/tenant/yourgym/login that you can share or embed on your website.
Subdomain — we set up yourgym.gymssolutions.co.uk for you at no extra cost.
Custom domain — point your own domain (e.g. members.mygym.com) to our platform. We handle the technical setup.

Yes — we have two plan types specifically designed for this.

The Gym Plan is built for group classes, multiple instructors, and multi-location operations.
The PT Plan is designed for personal trainers managing clients 1-to-1, with session pack countdown, booking confirmation control, fitness tracking, and private signup access codes.

Yes. Features such as waitlists, session pack countdowns, booking confirmation requirements, bulk auto-booking, attendee visibility, and new member registration approvals can each be toggled on or off for your system. You're not locked into a one-size-fits-all setup.

When a class reaches its capacity, members can join a waitlist. Their position in the queue is shown on their dashboard. As soon as someone cancels, the next person on the waitlist is automatically booked and sent a confirmation email — without any action needed from you.

Yes. Instructors have their own dashboard where they can see their upcoming classes, view attendee lists, check members in during a session, and (if enabled) approve or reject booking requests. They only see their own classes — they don't have access to admin settings or other instructors' information.

Billing is a monthly subscription, processed securely via Stripe. Pricing is agreed at onboarding based on your plan type (Gym or PT) — there are no hidden fees or long-term contracts. You can cancel at any time. View our pricing plans →

Completely. Every business on the platform has fully isolated data. Your members, classes, bookings, and records are never visible to, accessible by, or mixed with any other business. You can also configure your own domain so members never even know the platform is shared.

Gyms Solutions is a comprehensive gym management platform designed for fitness studios and gyms. We provide software tools for class scheduling, member management, attendance tracking, and multi-location operations to help fitness businesses streamline their operations.

Our platform includes:

  • Attendance Tracking: Real-time check-in/out and reporting
  • Multi-Location Support: Manage multiple gym locations from one system
  • Waitlist Management: Automatic booking when spots become available

Class Booking

To book a class, you need to be a registered user. Once logged in, you can browse available classes from the "Classes" section and click "Book Now" for your desired class. The class will be added to your schedule, and you'll receive a confirmation email.

Classes become available for booking up to 2 months before the scheduled date. We recommend booking early, especially for popular time slots, as classes fill up quickly.

You can cancel a booking by going to your dashboard and selecting "My Bookings." Find the class you wish to cancel and click the "Cancel" button.

When a class is full, you can join the waitlist. If a spot becomes available (due to a cancellation), the first person on the waitlist will automatically be booked into the class and notified by email. You can join waitlists for multiple classes and track your position on your dashboard.

Membership

Yes, you need to be registered in our system to book classes. Your administrator will create an account for you and send you instructions to set your password. Once your account is activated, you'll have access to book classes based on your membership type.

You can update your personal information (email, phone number, etc.) by logging in and navigating to your Profile page. For changes to your membership plan or billing information, please contact our membership team directly.

Technical Support

On the login page, click "Forgot password?" and enter your email address. You'll receive an email with instructions to reset your password. If you don't receive the email, check your spam folder or contact support for assistance.
